Poster Expo – FAQs
KEY DATES
November 30, 2024 – 23h59 HNE - All abstracts must be submitted by this deadline. After this time, the submission tool will be locked, and no further edits or submissions will be possible. Draft or in-progress abstracts must be submitted by the deadline.
December 14, 2024 - Authors will be notified of their abstract review results via via an email from CNS-SCN Thematic 2025. The email will have the subject line 'CNS-SCN Thematic 2025 Participation Request' and will include further instructions for accepted authors.
January 6, 2025 - Presenting authors of accepted abstracts must log into their unique abstract portal to confirm whether they accept or decline the opportunity to participate in the Poster Expo. Authors who do not respond or decline will be removed from the abstract program. See FAQ #1.
January 8, 2025 - Early-bird registration deadline for all conference attendees. Authors are encouraged to register by this date to take advantage of discounted rates.
January 17, 2025 - Deadline for all presenting authors to register for the CNS Thematic Conference. Presenting authors of accepted abstracts must register for the full conference. At a minimum, virtual registration is required, though in-person attendance is optional. Those who do not register by January 17 2025 will be removed from the abstract program.
January 20, 2025 - Posters must be uploaded to the CNS Virtual Poster Expo through the presenting author’s unique abstract portal. See FAQ #4.
January 27, 2025 - CNS launches the Virtual Poster Expo to allow advanced viewing of conference posters.

Virtual Poster Expo: Mandatory Participation
Participation in the Virtual Poster Expo is mandatory. It will run from January 27, 2025, to February 14, 2025 (online viewing dates may be adjusted), providing ample time for delegates to view your abstract. It will be promoted multiple times throughout this period. See FAQ #4 below for more details.
1. As a presenting author, how do I indicate my interest to participate or decline the opportunity to participate in the Poster Expo?
Presenting authors will receive an email from CNS-SCN Thematic 2025 with the subject line 'CNS-SCN Thematic 2025 Participation Request.' This email will contain a link to your unique abstract portal, where you can confirm whether you accept or decline participation in the Poster Expo. Further instructions for accepted authors will also be included. Authors must respond to indicate their participation by January 6. Those who do not respond or decline will be removed from the abstract program.
2. I didn’t receive the Participation Request email on December 14
Please check your junk, spam, or promotions folder. Notifications were sent to the email address used for abstract submission, which is the same email associated with the presenting author’s CNS membership profile. If you still cannot find the email, please contact abstracts@cns-scn.ca
3. What if I decline the opportunity to participate in the Poster Expo?
If you decline or do not notify CNS by January 6, 2025, you will be removed from all Poster Expo communications and the abstract program. Please note that the abstract submission fee is non-refundable.
4. How do I access and manage my abstract portal for the Virtual Poster Expo?
A link to each author's unique abstract portal will be included in the CNS-SCN Thematic 2025 Participation Request email, sent on or before December 14, 2024. Please bookmark this link for easy access, as authors can return to their unique portal multiple times to upload or edit materials, even after confirming their participation.
Presenting authors must upload the required materials to the abstract portal by January 20, 2025, 11:59 PM ET.
Mandatory items to include in the abstract portal:
- Poster in PDF format (see additional technical specifications in FAQ #8-10).
- 50-word summary introducing or describing the poster content.
- A short video (maximum 3 minutes) explaining their poster's background, methods, and findings. To do this, embed the YouTube or Vimeo code in your abstract portal. Make sure your video settings allow comments, downloads, and embedding.
5. When do I need to register for the conference?
Authors are encouraged to register by January 8, 2025 to take advantage of early-bird rates. The final deadline to register is January 17, 2025, 11:59 PM ET. Presenting authors of accepted abstracts must register for the full conference. At a minimum, virtual registration is required, though in-person attendance is optional, Those who do not register by this deadline will be removed from the abstract program.
6. Are the abstracts published?
The abstracts will not be published; however, they can be accessed by CNS members at https://cns-scn.ca/resources/conference-presentations-and-abstracts.
7. Is there a cost to participate in the virtual Poster Expos?
The fee of $40.00 CDN +tax that was charged at the time of the abstract submission covers the virtual expo portal development. All accepted authors must register to attend the full CNS Thematic Conference by January 17, 2025, 11:59pm ET. Those who do not register by January 17 will be removed from the abstract program. Authors are encouraged to register by January 8, 2025 to take advantage of early-bird registration rates.
8. What are the technical specifications for the virtual Poster?
- The Poster file size must be below 10 MB.
- There are no specific requirements for the dimensions of the virtual poster.
- The file must be saved as a .pdf. No other formats will be accepted.
- Optimize for screen, not for print:
- Save as a standard .pdf
- Do not save as "press-ready"; high-quality print resolution is not required
- Printer-ready features such as crop marks are not necessary
- Design your poster the same way that you would for printing/on-site viewing. Virtual viewers will be able to zoom and scroll through your poster as necessary.
9. Will visitors be able to download my virtual poster?
Yes posters can be downloaded to the visitor’s computer to enable them to view in their browser window. They can also take screen shots of the Poster when viewing. We encourage each author to include a copyright statement on the poster before uploading. Sample copyright text: Publishing Date: January 2025. © 2025. All rights reserved. Copyright rests with the author. No part of this abstract/poster may be reproduced without written permission from the author.
10. How can I prevent copying, editing, or printing of my virtual poster?
It is possible to configure your PDF poster to restrict users from printing, editing, or copying its content. These settings must be applied by the author before uploading the poster. To set these restrictions, follow the instructions for creating a Permissions password: Adobe Help: Securing PDFs with Passwords. Using a Permissions password, you can prevent others from printing, editing, or copying content from the PDF. Do not set a Document Open password (also known as a user password), which requires a password to open the PDF. Poster viewers should be able to open the document without a password. Please note that these steps will not prevent users from taking screenshots.
11. Can visitors to the Poster Expo ask questions or start discussions with authors?
Yes. Email contact information for poster authors will be available within the Virtual Poster Expo, allowing delegates to connect directly with authors to discuss specific research. Additionally, delegates will have the option to engage with authors virtually through a chat widget within the Virtual Poster Expo.
